Uncategorized Transactions in QuickBooks: Why They Pile Up and How to Fix Them

Open your profit and loss report in QuickBooks Online. Scroll down. If you see Uncategorized Income or Uncategorized Expense with a big number next to it, this post is for you.

Uncategorized transactions are the most common problem I find in QuickBooks files. They're also one of the easiest to prevent once you know where they come from.

What "uncategorized" means

Every transaction in QuickBooks needs a category, called an account. Office supplies, software, rent, client income. When QuickBooks doesn't know where a transaction belongs, it parks the money in Uncategorized Income or Uncategorized Expense.

Those two accounts are a waiting room. Nothing should live there long.

Why uncategorized transactions hurt

Your profit total might be close to right. The details underneath are wrong. That causes three problems:

  • You can't see where your money goes. A $9,000 Uncategorized Expense line hides your real software, travel, and contractor costs.

  • Your CPA has to sort the balance before filing, and you pay for that time.

  • Deductions get missed. An expense nobody identifies is an expense nobody deducts.

Where they come from

In the files I clean up, uncategorized balances usually trace back to one of these:

  1. Bank feed transactions added in a hurry. Someone clicks Add on a long list without picking a category, and QuickBooks fills in Uncategorized.

  2. Bank connections set up mid-year. QuickBooks pulls in history and much of it lands uncategorized.

  3. Imported files. Transactions brought in from a spreadsheet or CSV often come in without categories.

  4. Payment apps. Some apps sync deposits to QuickBooks with no category attached.

  5. Personal charges on a business card. The owner doesn't know where to put them, so they sit.

How to fix them, step by step

Keep your bank statements open in another window while you work. The fix goes much faster.

  1. Run a report. Go to Reports, open Profit and Loss, and set the date range to the period you want to fix. Click the dollar amount next to Uncategorized Expense. QuickBooks shows every transaction in that balance.

  2. Sort by payee. Group the list by vendor name so you fix similar charges together. Twenty Adobe charges take one decision, not twenty.

  3. Recategorize. Open each transaction and pick the correct account. For bank feed transactions you can also go back to the Categorized tab, undo, and recategorize from there.

  4. Handle the unknowns. Write down any charge you can't identify. Check the statement, your email receipts, and your calendar for that date.

  5. Repeat for Uncategorized Income. Deposits are often client payments, owner contributions, loans, or refunds. Each one belongs somewhere different. An owner contribution recorded as income makes you look more profitable than you are, and raises your tax bill.

  6. Reconcile afterward. Recategorizing doesn't change your bank balance, but reconciling confirms nothing got deleted or doubled along the way.

Personal charges on a business account

If you paid for personal items with a business card, don't record them as business expenses. Record them to an owner's draw or owner distribution account, depending on how your business is set up. Ask your CPA which account fits your entity type.

Better yet, keep a separate personal card. Separate accounts remove the problem at the source.

How to keep them from coming back

  • Set bank rules. In the Banking area, create a rule for each recurring vendor. Rent, phone, software, and insurance will categorize themselves every month.

  • Review weekly. Fifteen minutes a week keeps the For Review list short.

  • Never click Add without a category. If you don't know, leave the transaction in For Review and come back.

  • Keep a short list of your top categories. Most service businesses use 15 to 25 expense accounts. A shorter list means faster decisions.

When to hand it off

If the uncategorized balance spans years, mixes personal and business spending, or involves payment apps with fees and refunds, a cleanup will get you there faster. I recategorize every transaction, reconcile every account, and set up rules so the problem stays fixed.

Frequently asked questions

Is any balance in Uncategorized OK?

During the month, yes, while you track down what a few charges were for. At month end, both Uncategorized Income and Uncategorized Expense should read zero. A balance that carries from month to month means transactions are being skipped.

Can I recategorize a lot of transactions at once?

In the For Review list, you can check several transactions and change their category together. Transactions already added to your books take more work and usually need to be edited one at a time. ProAdvisors have accountant tools that speed this up for large batches.

Will recategorizing change my taxes?

It can. Moving an expense from Uncategorized into a deductible category changes the numbers your CPA works from. If the changes affect a year your CPA already filed, tell your CPA before you make them.

Why do my bank rules sometimes pick the wrong category?

Bank rules match on the text in the bank description. Some vendors use different descriptions from month to month, and some descriptions match more than one vendor. Open the rule, check its conditions, and make them more specific.

How many expense categories should a service business have?

Most service businesses do well with 15 to 25 expense accounts. Enough to see where the money goes, few enough to choose quickly.

What's the difference between a category and a bank rule?

A category is where a transaction lands on your reports, like Software or Rent. A bank rule is an instruction that tells QuickBooks to put future transactions from a vendor into a category automatically. Categories organize the books. Rules save you the clicks.
