7 Signs Your QuickBooks Online File Needs a Cleanup

Most business owners don't decide to let their books slide. A busy month turns into a busy quarter. The bank feed keeps filling up. One day you open QuickBooks Online and the For Review tab shows 600 transactions.

I'm Oscar Moncada, a QuickBooks ProAdvisor. I clean up QuickBooks Online files for service businesses across the U.S. These are the 7 signs I see most often in files that need help.

1. Hundreds of transactions sit in the For Review tab

The bank feed pulls in every deposit and charge. Nothing counts in your reports until you add or match each one. When the list grows past a few weeks of activity, your profit and loss report is missing real money in and real money out.

A long review list also gets harder to clear over time. You remember what a $212 charge was last Tuesday. You won't remember in March.

2. Your profit and loss shows Uncategorized Income or Uncategorized Expense

QuickBooks drops transactions into these accounts when nobody tells it where they belong. A small balance here is normal during the month. A balance in the thousands means your expense categories are wrong, and every report built on them is wrong too.

Run a profit and loss report for last year. If Uncategorized Expense is one of your biggest lines, your file needs a cleanup.

3. Your bank accounts haven't been reconciled in months

Reconciling means matching QuickBooks to your bank statement, line by line, until the ending balances agree. Skipped reconciliations hide missing deposits, duplicate entries, and charges posted to the wrong account.

Open the Reconcile tool and check the last reconciled date for each account. Three months or more behind is a red flag. A credit card never reconciled at all is a bigger one.

4. The balance in QuickBooks doesn't match the bank

Log in to your bank. Write down today's balance. Now look at the same account in QuickBooks. If the two numbers are far apart and you can't explain the difference with a few uncleared checks, something in the file is off.

Common causes: duplicates, deleted transactions, transfers recorded on one side only, and opening balances entered wrong when the file was set up.

5. You see the same transaction twice

Duplicates happen when someone enters an expense by hand and the bank feed brings in the same charge later. They also happen when an account gets connected twice, or when a payment app sends data to QuickBooks on top of the bank feed.

Each duplicate inflates your expenses or your income. Ten duplicate $500 charges make your business look $5,000 less profitable than it is.

6. Opening Balance Equity has a balance

Opening Balance Equity is a holding account QuickBooks uses during setup. In a clean file, the balance gets moved out once setup is done. If your balance sheet still shows a large number here years later, the file was never finished, or someone has been forcing reconciliations to match.

7. You don't trust your own numbers

This one matters most. If you look at your profit and loss and think "no way we made that," you're right to doubt it. Owners in this spot stop using their reports. They guess at pricing, guess at taxes, and guess at whether they can afford to hire.

Clean books turn those guesses into answers.

What a messy file costs you

A messy file rarely causes one big disaster. The damage shows up in smaller ways:

  • Your CPA spends extra hours fixing the books before tax season, and bills you for those hours.

  • A lender asks for financial statements and you need weeks to produce them.

  • You miss deductions because expenses sit in the wrong categories.

  • You make decisions on numbers that are off by thousands.

What to do next

If you saw one or two of these signs, you might fix them yourself. Start with the oldest unreviewed transactions, then reconcile one month at a time.

If you saw four or more, a cleanup will save you time. I work through the file month by month, reconcile every bank and credit card account, fix the categories, remove duplicates, and hand back a file you trust. You get a fixed quote before any work starts.

Frequently asked questions

How long does a QuickBooks Online cleanup take?

It depends on how many months are behind, how many accounts you have, and how busy those accounts are. A few months of catch-up for a small service business moves much faster than three years with several credit cards. After I review your books, you get a timeline along with your fixed quote, so you can plan around tax deadlines or a loan application.

Can I keep using QuickBooks during a cleanup?

Yes. Keep sending invoices and recording payments the way you do today. I work on past months, so we rarely get in each other's way. Tell me if you plan to change anything in the cleanup period, and I'll tell you before I touch anything you're working on.

Will a cleanup change numbers my CPA already filed?

Sometimes. If the cleanup changes totals for a year your CPA already filed, I flag the difference and send your CPA a summary. Your CPA decides whether anything needs to be amended. My job is to make sure the books match the bank.

Do you work in QuickBooks Desktop?

No. I work only in QuickBooks Online. If you're on Desktop, Intuit's Find a ProAdvisor directory lists bookkeepers who support it.

What if I only have one or two of these signs?

Start with the oldest unreviewed transactions and reconcile one month at a time. If the numbers still won't match after a month or two of effort, that's the point where a cleanup saves you time.
